Job Overview
Designer Wraps is seeking an energetic, sharp, and highly organized Executive Assistant / Front Desk Coordinator to join our fast-paced team.
We’re looking for someone who’s not only professional and polished but also confident, proactive, and ready to make things happen. This position is ideal for a motivated self-starter who thrives in a dynamic environment and enjoys supporting leadership, customers, and the entire team.
About the Role
You’ll be the first impression of Designer Wraps — greeting visitors, answering calls, and managing communication flow — while also serving as the primary support to the Owner and handling day-to-day administrative operations. This is a front-facing, high-impact role that combines executive-level support, customer interaction, and operational coordination.
Key Responsibilities
Executive Support

Serve as the primary support to the Owner: manage calls, calendars, emails, texts, and communications.

Exercise independent judgment and discretion in managing administrative matters.

Act as liaison between the Owner, team members, and customers.
Front Desk Operations

Be the first point of contact for all visitors, customers, and team members — greet guests, receive packages, and route calls/messages.

Maintain a professional, organized, and welcoming front office and showroom environment.

Ensure that all public-facing areas (lobby, showroom, restrooms) are clean and presentable at all times.
- Upsell productions & services whenever possible.
Administrative & Office Management
-
Order, track, and distribute office, production, and shop supplies.

Maintain organization and efficiency in all administrative systems and files (physical and digital).

Scan and organize documents on the server.

Handle incoming and outgoing mail, including USPS marketing mailers.
POS / Customer Service Support

Learn (training provided) and use the POS system to create jobs, schedule projects, receive payments, and assist in data entry.

Enter new and existing customer data, create estimates, run reports, and follow up with calls and emails.

Receive payments, mark invoices as paid, and prepare bank deposits.
Quality Control & Customer Care

Conduct pre- and post-vehicle inspections with photos for quality assurance.

Handwrite and mail “Thank You” cards to customers following job completion.

Support the marketing team with email lists, campaign coordination, and customer mailings.
Accounting & General Support
Qualifications & Skills
-
Minimum of 2+ years of administrative or executive assistant experience (required).

Exceptional organizational, communication, and time management skills.

Strong problem-solving ability with a high level of professionalism and confidentiality.

Proficiency with common office software (Microsoft Office, Google Workspace, etc.).

Experience with service-based POS or CRM systems (preferred).

High attention to detail, accuracy, and follow-through.

Positive attitude, initiative, and willingness to learn.

Minimum 18 years of age.
Compensation range $38,000 – $48,000/yr – will be determined based on actual experience!
Background check and real references are required.
High school diploma (no college degree required).
